Booking Policy

 

Sector Partner Experience (SPE) Booking & Invoicing Policy

To support program planning, schools are required to confirm their student numbers prior to their scheduled Sector Partner Experience (SPE).

  • Bookings made more than 2 months in advance: Student numbers must be confirmed 1 month before the session.

  • Bookings made less than 2 months in advance: Student numbers must be confirmed 2 weeks before the session.

If student numbers are not confirmed by the applicable deadline, the number provided at the time of booking will be used for invoicing. Where a range is provided at the time of booking, the highest number in that range will be used (e.g., a booking of 20–80 students will be invoiced based on 80 students).

Once confirmed, the student number represents the minimum billable number for the session. This number cannot be reduced due to student cancellations, withdrawals, absences, or other changes in attendance. If participation increases following confirmation, HeadsupCAN reserves the right to adjust the invoice accordingly.

All invoices will be issued prior to the scheduled session and will not be adjusted downward following the session based on actual attendance.

Cancellations & Rescheduling

Schools that need to cancel or reschedule a confirmed SPE are asked to contact HeadsupCAN as soon as possible. Fees may still apply where a cancellation or change occurs after student numbers have been confirmed or where program-related costs have already been incurred.

Exceptions to this policy may be considered at the discretion of HeadsupCAN in exceptional circumstances.


Certification Program Booking & Invoicing Policy

HeadsupCAN certification programs are booked at a flat program rate, unless otherwise specified at the time of booking. The program fee is based on the certification(s), delivery format, and other arrangements confirmed at the time of booking and is not adjusted based on the number of students who ultimately participate.

All invoices will be issued prior to the scheduled certification session. Once a program has been confirmed, the agreed-upon program fee represents the minimum billable amount for the session.

Cancellations & Rescheduling

Schools that need to cancel or reschedule a confirmed certification program are asked to contact HeadsupCAN as soon as possible. Fees may still apply where a cancellation or change occurs after the booking has been confirmed or where program-related costs have already been incurred.

Where additional services, certifications, participants beyond an agreed-upon limit, travel, or other program requirements are added following the initial booking, HeadsupCAN reserves the right to adjust the invoice accordingly.

Invoices will not be adjusted downward following the session based on attendance or changes in participation.
